How Smart POS Systems Are Transforming Business Operations
Electronic Point of Sale (ePOS) systems, also known as smart POS systems, are transforming modern business operations in today’s retail and hospitality space.
These sophisticated digital platforms have come a long way since their inception, evolving transaction processing and the way businesses are managed.
Carol Grunberg, Chief Business Officer at Yuno, highlights the expanded role of these systems: “Today's smart POS systems have the potential to serve as the central hub of a business's operations, effectively becoming the 'virtual CFO' that helps merchants manage every aspect of their business.
“From inventory management to payroll, financial reporting, customer relationship management, and now, artificial intelligence (AI), these advanced platforms are transforming how businesses operate.”
The Evolution of Smart POS Systems
Smart POS systems have evolved significantly from early ePOS systems. Carol notes: “Google and Amazon have long been pioneers in the payments space, experimenting with various technologies to enhance the merchant and consumer experience.”
She points to innovations like Amazon Go, which “uses advanced technologies like computer vision and sensor fusion to enable customers to pick up items and leave the store without the need for a traditional checkout, seamlessly charging their Amazon account”.
Another notable advancement in this evolution is Poynt, which Carol describes as “one of the first smart POS terminals to combine sleek hardware with powerful software, offering merchants a versatile platform capable of accepting various apps as well as payment methods, including QR Code, EMV, NFC, and magnetic stripe”.
Streamlining Operations and Enhancing Efficiency
These smart POS system innovations effectively enable businesses to streamline operations and boost efficiency.
Scott Frisby, Head of Strategy, Europe at Elavon, emphasises the advantages for smaller merchants.
“Smaller merchants can have access to sophisticated software configurations for a fixed monthly fee,” he says. “Automatic coherence and alignment between commerce platform and the POS hardware infrastructure means everything speaks to each other.”
Scott also notes that these systems benefit various sectors, including retail, hospitality and personal care services (hair salons, aesthetic clinics, gyms, etc.).
“They provide real-time stock-item availability information which makes interactions between merchant and customer clearer and accurate,” he adds.
Data-Driven Decision Making and AI Integration
Modern smart POS systems serve as valuable sources of actionable insights, collecting and analysing vast amounts of data on sales patterns, customer preferences and inventory movements.
Carol highlights how AI is enhancing these capabilities: "AI-powered POS systems can analyse purchase history and customer preferences to offer personalised recommendations and promotions at checkout.
“AI can enable dynamic pricing models that adjust prices in real-time based on demand, inventory levels, and even individual customer behaviour,” she adds.
This level of personalisation and dynamic adjustment was previously out of reach for many businesses, especially smaller ones.
It’s clear that smart POS systems play a crucial role in improving customer experience. Scott explains: “Businesses can recognise, reward and retain their best customers: this leads to more purchases, more frequently and just as importantly enhanced customer loyalty.”
AI integration further enhances the user experience, as Carol notes: “Voice recognition technology powered by AI can further streamline the checkout process, making it faster and more accessible, particularly in environments like drive-thrus or busy retail stores.”
Inventory Management and Cost Control
Effective inventory management is crucial for maintaining profitability, and smart POS systems excel in this area by providing automatic upgrades that ensure merchants have access to the latest innovations and more frequent feature releases.
Carol draws on the example of Toast POS, which “offers advanced inventory management features that allow restaurateurs to track ingredients in real-time, manage recipes and automate stock levels”.
She adds: “This integration helps minimise food waste and ensures that popular menu items are always available, optimising both costs and customer satisfaction.”
Of course, as smart POS systems handle sensitive customer and financial data, implementing robust security measures is also essential.
“AI algorithms are increasingly being used to detect and prevent fraudulent activities at the POS,” Carol points out.
“AI can enhance the encryption protocols used by POS systems, ensuring that sensitive payment data is encrypted in real-time during the transaction.”
Integration with e-commerce and omnichannel retail
One of the most significant advantages of modern smart POS systems is their ability to integrate seamlessly with e-commerce platforms, supporting the growing trend of omnichannel retail.
Scott emphasises this point: “Cloud-based ePOS systems are ideal for bricks and mortar businesses that want to dip their toes into ecommerce: click & collect, for example, would be something where a small business like a café might have a basic web presence but does not engage in broader e-commerce activities.”
He further explains the benefits for small businesses: “Many small businesses have hitherto not had the resources to be able to offer this.
“Software integrations into things like Google Maps or Google's product search results – this is transformative for a small business: they can give a real-time accurate view of whether they have a specific item in stock and the consumer can pop in to purchase it.”
Carol cites Shopify POS as an example: “Shopify POS offers retailers a seamless integration between their online and offline sales channels, providing a unified view of their business.
“This system is particularly powerful for businesses that operate both online and physical stores, as it allows for centralised inventory management, customer data tracking and sales reporting across all channels.”
The Future of Smart POS Systems
Looking ahead, smart POS systems are likely to become all the more sophisticated and integral to business operations.
Scott predicts: “A single platform handling commerce operations and payment operations will be the norm. The current situation of having multiple suppliers for different parts of the business will go away."
He also foresees a shift towards more digital interactions: ”Of course, not every item or service can be sold online, but I anticipate all businesses will offer consumers the ability to plan, book, purchase and service digitally.”
Carol concludes: “As the payments industry continues to evolve, the integration of AI and other advanced capabilities into smart POS systems will be crucial for helping businesses thrive in an increasingly complex and competitive marketplace.
“By becoming the nerve center of a business, smart POS systems are not just processing payments—they are transforming how businesses operate and grow, offering the tools and insights necessary to drive success in the digital age.”
